ADMINISTRATIVE ASSISTANT

Responsibilities include:

  • General office duties (answer phones, weekly catering, liaison for maintenance issues, keeping inventory & ordering office and kitchen supplies)
  • Assist Operations team & maintain confidential files and records using judgment and discretion
    • HR recruitment (events, screening candidates, scheduling interviews) and new employee onboarding (must be able to maintain confidential files and records using judgment and discretion)
    • Accounting functions may include billing, purchasing, etc.
    • Seek out opportunities to evaluate existing processes and make improvements when necessary
  • Event management (venue, catering, travel, and set-up / break-down as needed)
    • Internal social events such as monthly gatherings, holiday parties or volunteer opportunities
    • Client / Focus Groups
    • Trade shows
  • Projects and special assignments in support of executive team
    • Keep accurate files and records for reporting data
    • Research and compile information for reports and presentations
    • Handle internal and external correspondence; create reports and presentations, as necessary.

Requirements:

  • Bachelor’s Degree
  • 3-5 years of administrative experience -- office management, human resources and/or planning events
  • Superior written and verbal communication skills (Must be confident on the phone with clients)
  • Organization, attention to detail, problem solving, time-management skills
  • Efficient and flexible, and should work well with others in a fast-paced environment
  • Motivated with an upbeat, positive attitude and great energy
  • A high level of integrity and discretion with confidential information
  • Proficiency with Google Apps (Google Mail, Docs, Sheets)
  • Must be able to lift between 5Ilbs and 25Ibs without assistance to perform office inventory, stocking of supplies, event logistics
